In PCLAW you have the option of Separating Hard Costs from Soft Costs. First let me explain what Hard and Soft Costs are.
Hard Costs are actually Client Expenses that your firm writes a check for. One of the main examples would be filing fees. In PCLAW you would use Client Cost --> Check General to create these.
Soft Costs are expenses that you charge a client but you do not write a check to someone for. Main examples would be charging a client for faxes or photocopies. In PCLAW you would use the expense recovery feature to record these.
Here is what my GL Statement would look like if I had NOT separated Hard and Soft Costs
In this Modified Cash System I have written a check (Hard Cost) to the 19th JDC for $25.00. I have also charged a client $25.00 for Faxes (Soft Cost). I have a $50.00 Debit in my 1210 account which is the total hard and soft costs.
Now, I am going to change my system settings so that I am separating soft and hard costs.
Here is the main difference. The Fax Cost I charged the client went to the 5010 Client Soft Costs GL instead of the 1210 Client Disb Recoverable GL. So I have a $25.00 Debit in the 1210 account and a $25.00 Debit in the 5010 account.
So, why would you want to do this? By looking at this report, I can tell what my clients owed me that came out of my pocket versus what I expensed to them. Again, the real answer is to talk to your CPA or Financial Adviser and ask them if you need to do this.
Below I have added the more technical aspects of what happens when you separate Hard and Soft Costs. You cannot separate them in Accrual based accounting.
